Job Title: Operational Support Coordinator
Location: Central London (2 days onsite, 3 days remote)

About the Role
Exalto Consulting is seeking an organised and proactive Operational Support Coordinator on behalf of a large specialist IT Consultancy company to help keep their delivery, sales and bid activity running smoothly.
This role sits at the centre of a fast-moving consulting environment. You will support project teams, assist with sales and bid coordination, and ensure the operational details that underpin their work are managed carefully and consistently.
You will work closely with delivery teams, sales colleagues and senior leadership to keep information accurate, processes on track and deadlines visible. The work is varied and often time-sensitive, so the ability to stay organised, prioritise effectively and keep momentum during busy periods is essential.
This role is well suited to someone who enjoys bringing structure to complex activity and who takes pride in helping teams move forward with clarity and confidence.
Key Responsibilities
Bid and Sales Support
- Coordinate internal activity during the bid process, ensuring deadlines, documentation and approvals remain on track.
- Maintain and manage the internal bid portal, ensuring materials, updates and governance records are accurate and accessible.
- Support the preparation and organisation of proposal documents, presentations and supporting materials.
- Work with sales and delivery teams to gather information required for bids and proposals.
- Provide administrative and coordination support to project teams.
- Assist with project documentation, reporting and internal communications.
- Help maintain consistency across project artefacts, templates and documentation.
- Ensure project information is organised and easy for teams to access when needed.
- Track internal governance requirements and ensure processes are followed during bids and project initiation.
- Monitor and update operational records related to company KPIs and reporting.
- Support leadership teams with coordination tasks that keep operational processes moving during busy periods.
- Help maintain a structured approach to documentation, version control and approvals.
- Work alongside senior leadership and delivery leads to keep activities aligned and progressing.
- Act as a central coordination point between teams involved in bids and project work.
- Anticipate administrative needs and take initiative to resolve issues before they become blockers.
Essential
- Experience in project support, sales support or bid coordination within a fast-paced environment.
- Previous experience working in an IT consultancy, technology consultancy or professional services organisation.
- A good working understanding of the bid lifecycle and how proposals move from opportunity to submission.
- Strong organisational and administrative skills, with experience supporting large teams and senior stakeholders.
- Ability to manage multiple priorities and keep work progressing under tight timelines.
- Confidence managing documentation, governance processes and internal systems.
- Strong written communication skills and attention to detail.
- Familiarity with project-related technology environments or consulting tech stacks.
- Comfort working with project tools, documentation platforms and collaboration systems.
- Ability to quickly understand technical context in order to support documentation and proposal coordination.
